BIG MUSIC TERMS & CONDITIONS

Welcome to Big Music!
Our goal is to create a positive, inspiring and supportive music experience for every student, participant and guest. The following Terms & Conditions are designed to provide clarity around bookings, payments,
attendance, cancellations and participation across Big Music’s lessons, programs, events and services.
By booking or participating in any Big Music lesson, class, program, event or service, you agree to these Terms & Conditions.
CASUAL (SINGLE) LESSONS
Bookings & Payments
Casual lessons are single-session bookings and must be paid for at the time of booking unless otherwise agreed. Bookings are subject to coach and studio availability.
Rescheduling & Cancellation Policy
More than 24 hours’ notice
If you are unable to attend your scheduled lesson and provide more than 24 hours’ notice, you may choose one of the following options:
• reschedule your lesson within the next 7 days with your scheduled coach or another available coach
• receive a non-refundable credit to your Big Music account for future lessons or services
Account credits must be used within 6 months of issue.
Clients must notify the Studio Crew directly of any cancellations or reschedule requests via email, phone or their online account. Clients should not contact their coach directly regarding schedule changes.
Less than 24 hours’ notice
Lessons changed with less than 24 hours’ notice are not eligible for rescheduling or account credit.
Non-attendance without notice
Lessons missed without notice are charged as attended and are not eligible for rescheduling or account credit.
Coach Changes
While we strive to provide consistency wherever possible, Big Music reserves the right to provide a substitute coach if your scheduled coach becomes unavailable.
RECURRING LESSONS
Weekly Enrolment
Recurring lessons are ongoing weekly bookings that reserve a regular lesson time with your preferred coach.
Payments
Fees are charged weekly on a pay-as-you-go basis unless prepaid arrangements have been made.
To maintain your reserved lesson time, a valid credit or debit card must be stored securely in our billing system in accordance with industry security standards.
Rescheduling & Cancellation Policy
More than 24 hours’ notice
If you are unable to attend your lesson and provide more than 24 hours’ notice, you may choose one of the following options:
• reschedule your lesson within the next 7 days with your scheduled coach or another available coach
• receive a personalised LessonMate prepared by your coach, including notes, videos and practice resources
Recurring weekly lesson enrolments reserve a dedicated ongoing lesson time with your coach. Frequent lesson cancellations may impact the ability to retain an ongoing reserved lesson time.
Clients must notify the Studio Crew directly of any cancellations, reschedule requests or suspensions via email, phone or their online account. Clients should not contact their coach directly regarding schedule changes.
Less than 24 hours’ notice
If less than 24 hours’ notice is provided, your lesson booking remains payable and your coach will prepare and send a personalised LessonMate lesson, including notes, videos and practice resources, so learning can continue from home.
Non-attendance without notice
Lessons missed without notice are charged as attended and are not eligible for rescheduling, credit or LessonMate.
Lesson Suspensions
Recurring students may temporarily suspend their lessons for a minimum of one week and a maximum of four consecutive weeks without losing their reserved lesson time.
Suspension requests must:

be submitted in writing

provide at least three (3) working days notice

specify the suspension dates and intended return date
Only one suspension period is permitted per calendar quarter unless otherwise approved by management.
Coach & Schedule Changes
Students may request a change of coach or lesson time, subject to availability.
Additional charges may apply where the new coach or lesson type has different fees.
Big Music may provide substitute coaches when required.
BAND PROGRAMS: FIXED TERM SEASONS & JAMMING BANDS
Fixed Term Band Seasons
Commitment
Big Music's Fixed Term Band Programs are collaborative, performance-based programs that rely on consistent weekly attendance and commitment from all participants, as they prepare for their end-of-season performance.
Band line-ups, rehearsals and performances are planned around confirmed enrolments for the full season.
Fees & Payments
Fees are charged weekly throughout the season unless prepaid arrangements have been made.
Enrolment confirms commitment for the duration of the season.
Attendance & Missed Sessions
Missed rehearsals and performances are generally not refundable, transferable or credited.
Participants are strongly encouraged to attend all rehearsals and performances wherever possible.
Withdrawals
Withdrawals during a season do not automatically cancel remaining payment obligations, as rehearsal schedules, band line-ups and performance commitments are planned in advance.
Exceptions may be considered for medical or exceptional circumstances at management discretion.
Jamming Bands & Original Bands
Attendance & Payments
Jamming Bands & Original Bands operate on a flexible pay-per-session basis.
Participants are charged only for sessions attended.
Cancellation Policy
Sessions may be cancelled without charge up until 10:00am on the day of the session.
Late cancellations and non-attendance are charged as attended.
KIDS PROGRAMS: AFTER SCHOOL PROGRAM & GROUP CLASSES
Weekly Commitment
These programs follow a structured sequential curriculum and rely on consistent attendance and group continuity.
Enrolment reserves your child’s place in the program.
Payments
Fees are charged weekly on an ongoing basis unless otherwise specified.
A valid payment method must be stored securely in our billing system.
Missed Sessions
Missed sessions are generally not refundable, transferable or credited.
Make-Up Sessions
Where availability permits:

After School Music Program students may attend an alternative session during the same week
-
Group Class make-up options may occasionally be offered at management discretion
Please contact the Studio Crew as early as possible to check availability.
Behaviour & Participation
Big Music reserves the right to suspend or cancel enrolment where behaviour is unsafe, disruptive or repeatedly impacts the experience of other participants.
HOLIDAY CAMPS
Bookings & Payments
Holiday Camp bookings must be paid in full at the time of booking unless otherwise agreed.
Cancellation Policy
More than 7 days before the camp commencement date
Bookings cancelled more than 7 days before the camp commencement date are eligible for:

a full credit
-
transfer to another camp
-
or refund less any applicable administration fees
Within 7 days of the camp commencement date
Cancellations within 7 days of the camp commencement date are non-refundable.
Where possible, Big Music may offer:

a transfer to another camp
-
a credit
-
or alternative arrangement at management discretion
Missed Days
No refunds or credits are provided for partial attendance or missed camp days due to illness, holidays or other personal reasons.
FACILITY HIRE, PARTIES & EVENT BOOKINGS
Booking Confirmation
A non-refundable 50% deposit is required to confirm all party, event and facility hire bookings.
The remaining balance is due 7 days prior to the booking date.
Rescheduling
Bookings may be rescheduled without forfeiting the deposit provided at least 7 days’ notice is given.
Venue Access
Access to the venue is available 30 minutes before the booking start time.
Guests are requested to assist with a general tidy-up and vacate the venue within 30 minutes after the event concludes.
Sunday Surcharge
A 10% surcharge applies to Sunday bookings.
Damage & Conduct
The booking party is responsible for any damage caused to Big Music property, equipment or facilities during the booking period.
Big Music reserves the right to refuse or terminate bookings where behaviour is unsafe, illegal or unreasonably disruptive.
INSTRUMENT HIRE
Ownership
All hire instruments remain the property of Big Music Services Pty Ltd.
Payments
Weekly hire fees are charged automatically to the nominated payment method.
A valid payment method must remain active throughout the hire period.
If a payment method becomes invalid or expires, the hirer must immediately provide updated payment details or return the instrument.
Hire Period
Instrument hire operates on an ongoing week-to-week basis until the instrument is returned.
Returns
Hire instruments may be returned during Big Music trading hours at any time.
Weekly hire fees will cease from the next scheduled payment date following return of the instrument.
Care of Instruments
The hirer is responsible for taking reasonable care of the instrument during the hire period.
The hirer may be charged repair or replacement costs for loss, theft or damage beyond normal wear and tear.
Big Music recommends that hire instruments be covered under the hirer’s home contents insurance policy.
Default
If payment obligations or other terms of this agreement are breached and not remedied within 7 days, Big Music reserves the right to terminate the hire agreement, recover the instrument and charge any outstanding amounts owing.
GIFT CARDS
Validity
Gift cards are valid for 3 years from the date of purchase unless otherwise stated.
Redemption
Gift cards may be redeemed for eligible Big Music lessons, programs, camps and services.
Gift cards are not redeemable for cash.
Refunds
Gift cards are non-refundable and non-transferable unless required by law.
GENERAL TERMS
Fee Changes
Big Music reserves the right to update fees and charges at any time by providing at least 14 days’ notice.
Updated fees may be communicated by email and/or published on our website.
Media Consent
Big Music may photograph or film lessons, classes, programs, performances and events for promotional and marketing purposes.
If you or your child do not wish to appear in future promotional content, please notify us in writing.
Previously captured content may continue to be used in accordance with prior permissions.
Safety & Supervision
Students under 15 years of age must remain inside Big Music’s premises while awaiting pickup.
Parents and guardians are responsible for ensuring students understand and comply with this requirement.
Big Music takes all reasonable steps to maintain a safe environment within our premises but cannot supervise students outside the building.
Personal Property
Big Music is not responsible for loss, theft or damage to personal belongings brought onto the premises.
Liability
To the extent permitted by law, participation in Big Music lessons, programs, events and activities is at the participant’s own risk.
Big Music and its staff are not liable for injury, loss or damage except where caused by gross negligence or where liability cannot legally be excluded.
Policy Updates
Big Music reserves the right to update these Terms & Conditions at any time.
Updated versions will be published on our website and apply to future bookings and ongoing enrolments following notification.
